About the Role:
Gambia Participates is looking for highly qualified personnel to fill in the vacancy of an Executive and Front Desk Assistant. The Executive and Front Desk Assistant will be responsible for being the personal assistant to the Executive Director as well as serving as the Front Desk Assistant at the Gambia Participates office.
Duties and responsibilities
Receptionist Duties:
- Answering and directing incoming phone calls
- Greeting and assisting visitors
- Maintaining a professional and organized reception area
- Scheduling appointments and meetings
- Handling mail and deliveries
- Basic administrative tasks such as filing, copying and data entry
Personal Assistant Duties:
- Managing and maintaining the schedule of the executive or manager they are assisting
- Organizing and coordinating meetings and events
- Making travel arrangements
- Managing expenses and preparing expense reports
- Handling confidential information and maintaining discretion
- Assisting with special projects as needed
- Acting as a liaison between the executive or manager and other departments or external contacts
Qualification and Experience
- Diploma in Business Management or Customer Service. A Bsc holder in Business Management are highly encouraged to apply
- Experience with office software and technology, such as Microsoft Office and email
- Strong communication and interpersonal skills
- At least 3 years of experience working as a receptionist or administrative assistant
- Experience in a similar role as a Personal Assistant is preferred
- Experience working in a fast-paced and dynamic environment
- Experience handling confidential information and maintaining discretion
- Experience working with a high level of attention to detail
- Experience working with calendar, scheduling, and travel arrangements.
- Experience in working with NGO/Public or Private Sector in a related field
- Excellent problem-solving skills
